Privacy

This is a plain-language summary of how Logbook.tools handles your data. Logbook.tools is run by Jordi Boerman, a Dutch developer based in the Netherlands.

What we store

Account: email, name, password (hashed), language, active logbooks, subscription tier and renewal date.
Entries: the data you log per logbook (dates, sites, equipment, notes).
AI assistant (Pro): the chat messages, voice transcripts and photo-uploads you send to the assistant, plus the AI's responses.
Attachments (Pro): files and links you attach to your entries, stored on our server.
Usage counters: how often you used voice or photo entry per year, for quota limits.
Session: a token cookie to keep you signed in.
Security: your IP address briefly for rate-limiting, and a Stripe customer ID + API key (if you generated one).
Temporary tokens: password-reset and account-activation tokens (short-lived, then removed).

Third parties we share with

To run the service, some data is sent to these processors:

OpenAI (USA), when you use the AI assistant. Your messages, voice clips and photos are sent for processing. Per OpenAI's API policy these are not used to train their models.
Stripe (USA/Ireland), when you subscribe to Pro. Your email, name and billing details go to Stripe to process the payment.
Email delivery: activation, password-reset and feedback emails are sent via our hosting server's outgoing mail.
Hosting: Logbook.tools runs on servers operated by our hosting provider in the EU.

What we do not do

No third-party analytics, ad networks or tracking pixels.
No selling or renting of your data.
No social-media integrations or share-buttons that load external scripts.

How long we keep it

Account, entries, AI chat and attachments: for as long as you have an account.
Password-reset and activation tokens: hours to a few days, then automatically removed.
Rate-limit IP records: up to one hour.

Your rights (GDPR)

Access: see what we have on you.
Correction: fix incorrect details (most you can edit yourself in settings).
Export: download your full logbook as CSV at any time.
Deletion: request removal of your account and data via the feedback form in settings (category "Delete account"); we process within 30 days.
Complaints: if we don't resolve a privacy issue, you can contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
